WE ARE ONE SUMMER FARMERS MARKET
GUIDELINES

** Applications are due by Friday, June 1st, 2012 **

  1. Products sold at this market are limited to those grown or made in New Hampshire.

  2. As our geographical location is in Weare, Weare & nearby town members receive precedence.

  3. The market allows a certain number of members due to spatial reasons, and will be determined by the Board of Directors.

  4. A member must be nature oriented, meaning the products must be made in New Hampshire and carry a natural theme.  This can include produce, meat, jams, syrup, honey, homemade jewelry, home baked goods, sewn items, prepared foods, herbs, etc.  We do not accept applications for things such as cotton candy, fried dough, imported items, plastic items, etc. This is keeping in line with the traditional history of Farmers Markets in an effort to support local farming and the promotion of health foods and handmade products.

  5. A members meeting is held prior to the start of each season to review member product offerings, new member applications and current guidelines. 

  6. In order to offer an assorted variety of items to customers and to increase attendance, variety is a necessity.  In the application you will be asked to provide a list of products and prepared items that you plan to sell.  Please be as specific as possible. The number of members for a specific category are dependent upon customer demand and sales viability, which will be used as a decision making factor when considering categories. Applications from members carrying similar items are reviewed at the seasonal member meeting.  After receiving feedback from existing members, member approval is at the discretion of the Board of Directors. 

  7. The Board of Directors reserves the right to conduct a site visit which may be required as part of the application process, or to resolve a grievance.

  8. Up to 25% of the products sold by the member may be purchased for resale, but these must be New Hampshire grown or made. If a product is grown and offered by other members, buying in from non-member farms is not allowed unless there is sufficient demand for the product and the Board of Directors approves.   All buy-in products must be disclosed to the director. 

  9. All food vendors will have a clearly visible sign at their booth each week which identifies their growing/farming practices, e.g., certified organic, organic practices, transitional organic, conventional. The market has the right to advertise and promote the vendors as such.

  10. If your offerings are sold as certified organic, certified natural, or any other certification, non complying products must be labeled.  In other words, if you are a certified organic member selling non-certified product, it must be labeled. 

  11. Hawking is not permitted (shouting prices or shouting about items for sale).

  12. Non-members may not sell, deliver, hawk or market their products at the market.

  13. If you are an existing member and you wish to introduce products to your offering that were not mentioned on your application, it must be reviewed for approval by the Market Director before the product is presented to the public.

  14. Levels of Participation:All vendors, prospective and current, must fill out a registration form each season and include the non-refundable registration fee for consideration as a participant in the season’s market.  The registration fee for new vendors is $25, for returning vendors the fee is $10.    Vendors must choose a level of participation when they are confirmed by the Board of Directors as a member vendor. All vendors who have a table at the Market will pay a $10 booth fee for their space regardless of the size of space needed.
      1. Pre-Order Vendor:  Vendor participates as a pre-order only vendor through the Locally Grown website**.   The vendor must arrange for all orders made in a week to be delivered to the market not later than 3PM on Friday.  The Market Director will handle the distribution of orders, collect money, and pay the vendor for their sales.  The administration fee to the Market for providing this service is 10% of the total online orders for each week the service is provided.  A Pre-Order Vendor may opt to have a full booth at the Market location when they have orders to deliver.  Booth fee will apply, online admin fees will apply, Market fee for handling/delivering orders will be waived.
      2. Bi-Weekly with Pre-Order Vendor:  Vendor participates at the Market location every other week as well as offers their items for sale through the Locally Grown website.**  Booth fees apply when the vendor is present.  No online orders will be taken during weeks this category of vendor is not at the market.
      3. Weekly with Pre-Order Vendor:  Vendor participates at the Market location each week as well as offers their items for sale through the Locally Grown website.**  
      4. Weekly without Pre-Order:  Vendor participates at the Market location each week without offering their items for sale through the Locally Grown website.  (Online participation is encouraged.  Customers receive a weekly newsletter promoting vendors and reminding them to make their orders ahead of time. This is a great convenience for customers with no time to linger to shop at the Market.  Customers who order online, then pick up and go as a regular habit in general don’t look around to buy from on-site only vendors.)
        There is an online administration fee to the We Are One Farmers’ Market for all vendors using the Locally Grown website.  This is for the continued maintenance, promotion, and Locally Grown fee administration of the online sales opportunity.  This fee is 3% of the total of online orders per vendor each week regardless of their physical presence at the Market.

    **LocallyGrown.net charges all vendors a 3% fee of online sales each week for use of their site.  This fee is collected from each vendor by the We Are One Market Director and paid to LocallyGrown.net .

  15. For the first season, new members will be on a probationary period, and if application is made for a second season and approved, will become an active member.

  16. It is important that members participate in the market for the duration of the market.  Consistent attendance is necessary to fulfill customer’s needs.  Courtesy notice should be given prior to an absence.  Repeated absences are cause for dismissal from the market at the discretion of the Board of Directors.

  17. Member must be set up by 3:00 pm and remain until 6:30 pm (unless they sellout).

  18. Members are allowed a 10 x 10 space which is available for use on site.   Members are responsible for set up and clean up of their member area.  Tents are encouraged.

  19. All necessary state licensing and insurances are required and a copy of said paperwork must be submitted with application and/or can be faxed to (603) 218-6814.

  20. FREE TRIAL
    The market director is encouraged to find special members to add diversity to the market.  Special members are allowed a free two week trial at the discretion of the Board of Directors.  Only new members can be invited as special members and may continue as a paying special member at the discretion of the board.
